How the platform works
This page is the public guide (like a company handbook) for clubs adopting The Shield & Scout. Role-by-role previews are on the homepage under Product guide, taken from the live app. After you sign in, open the in-app User guide for every screen and role.

For clubs & administrators
After your workspace is activated, administrators configure structure, identity, and operational policies. Until the tenant is fully approved, some invitations and publication features may stay restricted (mirroring how we gate activation on other SHARP4IT products).
1 · Dashboard & activation
Sign in from the public site and open the owner or admin dashboard. Review activation status, subscription context, and high-level KPIs before inviting coaches and importing rosters.
2 · Organization identity
Set public-facing branding where your deployment exposes it: club name, logos, optional marketplace or directory fields, and governance toggles (who can publish, who can see finance modules).
3 · Teams, rosters & permissions
Create teams and assign coaches. Use role-based access so finance, medical, and youth data stay scoped to the right staff. Connect anti-fraud and document workflows when your club enables those modules.
4 · Scheduling, attendance & operations
Maintain practice and match calendars, biometric or manual attendance where configured, and parent notification hooks (for example WhatsApp integrations your club turns on).
5 · Finance & commercial controls
Where enabled, track fees, settlements, and platform commissions according to the terms accepted at registration. Final fee tables and billing dates are communicated before charges apply.
For coaches & staff
Coaches work from a single workspace: rosters, schedules, video uploads, AI-assisted analysis, drills, and community — depending on what your club licenses.
1 · Daily workflow
Open assigned teams, review attendance, upload match or training video, and launch AI analysis jobs. Share summaries with players and parents when policy allows.
2 · Video & AI Coach
Follow your club’s retention and privacy rules for footage. AI outputs are advisory; final coaching decisions stay with qualified staff.
3 · Team match analysis (full squad)
Upload a match video file from your device. Before upload, ensure each roster player has a profile photo and jersey number. The app shows a readiness notice if analysis services are not yet available for your club.
If results look incomplete for all players, contact your club administrator, confirm roster details, and upload again. Use Send to AI now when the analysis screen offers a retry.
4 · Community & messaging
Use federated community features to post updates and react to club content where your role includes access.
For players
Players see performance views, Athlete 360-style summaries, analyses shared by coaches, attendance, and optional device integrations.

For parents & guardians
Parents follow linked athletes, fees, announcements, and notifications configured by the club.
1 · Account & linking
Create a guardian account and accept invitations to link minors. You will only see data your club exposes for your children.
2 · Payments & messages
Where billing is enabled, complete payments through the flows your club provides. Notification channels (email, SMS, WhatsApp) depend on club settings.
Team match checklist
Full-squad match analysis needs complete player profiles and an active analysis service for your club. Administrators can confirm service status under Analytics & Upload → AI Server Status.
- Confirm analysis services are enabled for your organization.
- Roster: profile photos and jersey numbers for each player.
- Re-upload the match video after fixing roster or service issues — do not rely on a completed-but-empty report.
World Cup 2026 module
For federations and national-team workflows: fixtures, Arabic labels, match detail with scores and stats, post-match player review for Arab squads, and an AI How to win tactical plan. Demo fixture results (e.g. Belgium vs Egypt) are preserved when live data sync would otherwise clear scores.
