This Privacy Policy describes how SHARP4IT (“we”, “us”, “our”)
collects, uses, stores, and protects information when you use
The Shield & Scout web platform and the
Kayan Sports AI mobile application (Android and iOS)
(together, the “Services”).
By using the Services, you agree to this Privacy Policy.
If you do not agree, please do not use the Services.
1. Who we are
The Services are operated by SHARP4IT. Our sports platform is available at
https://sports.sharp4it.com.
Club and account data are processed on infrastructure controlled by SHARP4IT
and your club administrators.
2. Information we collect
Depending on how you use the Services, we may collect:
- Account information: name, email, phone, role, club membership, login credentials (stored securely; passwords are hashed).
- Profile and sports data: team assignments, attendance, performance metrics, injury notes, and other records entered by you or your club.
- Video and images: match or training footage, photos, and frames you upload or capture for AI analysis, live sessions, or community features.
- Audio and microphone data: when you grant permission, the app may access your device microphone to record voice notes, convert speech to text for coach notes, or capture audio alongside video recordings. Microphone access is requested only when you use those features; you can deny or revoke it in Android or iOS settings.
- Camera data: when you grant permission, the app uses the camera to capture photos or video for analysis, live pose sessions, shuttle-run tests, and similar coaching tools.
- Health and fitness data (Android Health Connect): with your explicit consent, we may read data such as heart rate, sleep, steps, distance, active calories, exercise sessions, weight, blood oxygen, and related metrics to show dashboards and training insights. We do not write health data to third-party apps without your action.
- Bluetooth and wearable data: with your permission, we may connect to supported wearables to read heart rate, steps, battery, and similar readings.
- Location: on some Android versions, location permission may be required by the operating system to scan for nearby Bluetooth devices. We do not use location for advertising.
- Device and usage data: app version, device type, crash logs, and basic usage needed to operate and secure the Services.
- Communications: messages, posts, and notifications you send or receive through enabled club features.
3. How we use your information
We use collected information to:
- Provide sports analytics, AI coaching, video analysis, and club management features you or your club enable.
- Process uploaded video and audio to generate biomechanical reports, metrics, and coach recommendations.
- Display health and wearable summaries in your dashboard when you connect Health Connect or devices.
- Send in-app or push notifications about schedules, analyses, and club announcements (where enabled).
- Maintain security, prevent fraud, troubleshoot errors, and improve the Services.
- Comply with legal obligations and enforce our Terms and Conditions.
We do not sell your personal data to third parties.
4. Permissions on mobile devices
The Android app may request the following permissions. Each is used only for the stated purpose:
- Microphone (RECORD_AUDIO): voice notes and speech-to-text for coach notes; optional audio when recording video.
- Camera: capture video or photos for AI analysis and live coaching sessions.
- Health Connect (read): sync wearable and health metrics you choose to share.
- Bluetooth: pair and read data from supported wearables.
- Notifications: deliver alerts from your club or coach.
- Internet: sync data with your club’s server.
You can change or revoke permissions at any time in your device settings.
Some features may not work without the relevant permission.
5. How we share information
We may share information only in these cases:
- Within your club: coaches, admins, and other authorized roles see data according to club permissions and your role (e.g. parent visibility for linked players).
- Service providers: hosting, AI processing, email, or messaging providers that help us operate the Services under contractual confidentiality obligations.
- Legal requirements: when required by law, court order, or to protect rights and safety.
- With your consent: when you explicitly choose to share (e.g. export or community posts).
6. Data retention and security
Video, health, and account data are retained for as long as your club account is active
or as required by your club’s policies and applicable law.
We use encryption in transit (HTTPS), access controls, and role-based permissions to protect data.
No method of transmission or storage is 100% secure; please use strong passwords and protect your device.
7. Your choices and rights
- Update profile information in the app where your role allows.
- Revoke microphone, camera, Health Connect, or Bluetooth access in device settings.
- Request correction or deletion of your data through your club administrator or by contacting us.
- Delete the app from your device; account deletion is handled by your club or SHARP4IT support on request.
Depending on your country, you may have additional rights under GDPR or local privacy laws.

8. Children
The Services are used by sports clubs and academies, including minors under club supervision.
Accounts for minors are typically created and managed by clubs or parents.
If you believe we have collected a child’s data without appropriate consent, contact us so we can address it.
9. International transfers
Data may be processed on servers in regions where SHARP4IT or its hosting providers operate.
We take steps to protect data in line with this policy regardless of location.
10. Changes to this policy
We may update this Privacy Policy from time to time.
The “Last updated” date at the top will change when we do.
Continued use of the Services after changes means you accept the updated policy.
